Your booking T&Cs, and drafting them with AI ๐Ÿ“œ

Setting the terms customers accept before booking online, drafting them from your booking settings with AI, and what customers actually see.

Booking T&Cs are your own terms โ€” cancellation, lateness, deposits, patch tests โ€” shown to customers before they book online. They're separate from Styler's own terms.

You can write them yourself, paste in what you already have, or have a first draft written for you from the way your booking system is actually set up.


Where they live

Go to Settings, then under Bookings click T&Cs.

  1. Write or paste your terms into the editor.

  2. Switch the toggle at the top to Enabled.

  3. Click Save.

๐Ÿ‘€ Nothing takes effect until you click Save โ€” the toggle included. Switch it to Enabled and walk away, and customers still won't see anything.

๐Ÿ‘€ Opening this page needs permission to change settings. By default only Admin accounts have it โ€” see adding staff accounts.


Drafting them with AI

Starting from nothing? Click generate terms from your booking settings in the description at the top of the page, or Generate with AI in the editor. A short set of questions opens.

Your policies. They all start unticked โ€” tick only the ones that apply:

  • We have a late arrival policy โ€” then set a grace period, and whether after that the booking is marked as a no-show or shortened with the full price still applying.

  • Some treatments need a patch test first โ€” and how many hours before.

  • We have a minimum age

  • Customers should attend alone (no children or guests)

  • Customers must disclose allergies or medical conditions beforehand

  • Customers should reschedule if they're unwell or contagious

  • Unpaid fees must be settled before booking again

  • We may take photos for records and social media

  • We may refuse or stop a service for abusive or inappropriate behaviour

Then, optionally, how customers can pay any balance on the day โ€” Cash, Card or Bank transfer โ€” a Tone of Professional or Friendly, and up to 600 characters under Anything else to include: parking, what to bring, how to reach you.

Click Generate. The draft is written into the editor a few seconds later.

What it already knows

You aren't asked about cancellations, fees or deposits, because the draft is written from your actual settings:

  • your cancellation window, from Booking Preferences

  • your late cancellation and no-show fees, from Revenue Protection

  • your deposits, from your service tiers โ€” along with your Payment Options and whether Stripe is connected

  • your business name, your Business Bio and your service categories

๐Ÿ’ก Get those right first. The draft describes what your booking system really does. If your cancellation window is wrong in Booking Preferences, it'll be wrong in your terms too. See late cancellation and no-show fees and setting up deposits.

๐Ÿ‘€ Your terms don't update themselves. They're a snapshot of your settings on the day you generated them. Change your fees or your cancellation window later and your terms still say the old thing until you edit them, or generate again.

It's a draft โ€” review it before you save

๐Ÿ‘€ Generating replaces everything in the editor. If you already have terms you want to keep, copy them somewhere safe first.

Nothing is saved when the draft appears. Read it, edit it, switch to Enabled, then click Save. Leave the page without saving and the draft is gone.

๐Ÿ‘€ This isn't legal advice, and the page says so. The draft is a starting point built from your settings and your answers. You're the one publishing it, so you're responsible for what it says โ€” and if you're relying on it to charge customers fees, it's worth having it checked.

๐Ÿ‘€ Deposits get deliberately cautious wording. The draft says a deposit counts towards the final bill and isn't refunded automatically โ€” and says nothing about whether it moves to a rescheduled appointment or is lost. If you have a rule about that, put it under Anything else to include, or add it to the draft yourself.

If it doesn't work you'll see "We couldn't generate your booking terms right now." Your answers are kept, so just try again. It can be used 15 times in 15 minutes from the same internet connection โ€” a salon sharing one Wi-Fi counts as one.

What your customers see

In your booking widget, straight after a customer clicks Book Now they get a Terms & Conditions page with your terms and an Accept button โ€” before they choose anything. Accepting takes them on to choosing what to book.

Your formatting carries over. Headings, bold, lists, colours, alignment and tables look the way they do in the editor, and links open in a new tab.

๐Ÿ‘€ The widget only shows the page when your terms are Enabled and actually have something in them. Enabled with an empty editor, and it skips straight past.

In your branded app, customers see your terms with an I Agree button before they book, and can read them at any time under Settings โ†’ Booking Policies.

๐Ÿ’ก Don't switch terms on until you've written them. The app shows its terms screen whenever the toggle is on, whether or not there's anything to read.

๐Ÿ‘€ Styler doesn't keep a record of each customer accepting. The button is how they get past the page โ€” it isn't logged against the booking. Your terms are in front of everyone who books online, but if you ever need to prove that one particular customer agreed to one particular fee, Styler has no receipt of that.

FAQs

โ“ I've changed my cancellation fee. Do I need to change my terms?

  • Yes. Your terms don't follow your settings. Edit the wording yourself, or generate again โ€” remembering that generating replaces everything in the editor.

โ“ A customer booked over the phone. Did they accept my terms?

  • No. Terms are shown in your widget and app. When you add a booking in the Hub, the customer isn't shown anything โ€” so if the terms matter for that booking, send them yourself.

โ“ Will customers know the terms were written with AI?

  • Nothing tells them. They appear as your terms, because once you've saved them, that's what they are.

โ“ Are these the same as Styler's Booking Terms?

  • No. Styler's own Booking Terms are a separate document about Styler's side of things. This page is for the terms between you and your customers.
