Styler uses AI in two places, both in the Hub, and both only when you press a button: drafting a staff bio, and drafting your booking T&Cs. This page sets out exactly what each one involves, what information leaves Styler when you use it, and what doesn't.
We've written this in more detail than strictly necessary, because "we use AI" is not a useful answer when someone asks what happens to their data.
Where AI is used
Staff bios. When adding or editing a staff member, Generate with AI drafts a short bio for you instead of writing one from scratch. See staff bios and photos.
Booking T&Cs. In Settings → Bookings → T&Cs, you can have a first draft of your booking terms written from your booking settings and a few questions. See your booking T&Cs, and drafting them with AI.
Those are the only two. AI is not used for service descriptions, course descriptions or reports, and it makes no decisions about your customers, bookings or payments. Nothing is generated automatically or in the background; it only runs when you press the button.
What gets sent: staff bios
Your business name
Your Business Bio, if you've written one
Whether your business writes British or American English, worked out from its country
The staff member's first and last name
Their job position
Anything already typed in the Bio box when you press the button — that's where your notes go

What gets sent: booking T&Cs
From your settings — so the draft matches what your booking system really does:
Your business name, your Business Bio, and up to eight of your service category names
Your currency, and British or American English
Your cancellation window, and your late cancellation and no-show fee percentages
Whether you take card payments through Styler, your deposit amounts, and your Payment Options choice
From you — the answers in the questions window:
The policies you tick, and the numbers that go with them — grace period, patch test notice, minimum age
How customers can pay on the day, and the tone you pick
Whatever you type under Anything else to include
👀 That last box is sent as you type it. If you put a phone number, an address or an email in there, that goes too.
What is never sent
Customer records — names, contact details, addresses, dates of birth, notes
Booking history
Card details, or any customer's payments
Your reports or business performance data
Staff contact details, pay, or working hours
Your payment settings — fee percentages and deposit amounts — are used for booking T&Cs, because the terms need to state them. Nothing that belongs to a customer is.
Who processes it
Both features use Google Gemini, through Google Cloud. Your request is sent to Google, which returns the generated text.
👀 Requests may be processed outside the EU. The model Styler uses is served from Google's global endpoint, which has no EU-only regional option. If your organisation has a policy requiring all personal data to stay within the EU or UK, these features are ones to be aware of — a staff member's name and job title are personal data, and so is anything personal you type into a notes box.
We'd rather tell you that plainly than leave it in the small print.
What this means for your staff
Generating a bio sends that person's name and job title to a third party. It's a small amount of information, and it's the sort of thing that would appear on a public "meet the team" page anyway — but it's still their data, not yours.
💡 Tell your team you're doing it. It costs nothing, most people won't mind, and "you put my details into an AI without asking" is a conversation worth not having. If someone would rather you didn't, write their bio by hand — the feature is entirely optional.
What comes back is a draft
Nothing is saved until you save it. A bio is typed into the Bio box for you to edit; booking terms replace whatever is in the T&Cs editor, and the page isn't published until you click Save.
AI-generated text tends to be fluent and generic, and it can state things that simply aren't true. Both features are told to use only what they're given and not to invent anything — but that's an instruction, not a guarantee.
👀 You're publishing it, so you're responsible for it. Read it before you save. A bio claiming a stylist specialises in something they don't is a customer complaint waiting to happen — and booking terms drafted with AI are not legal advice, which the T&Cs page says too. Nothing tells your customers that either was written with AI.
💡 Each feature can be used 15 times in 15 minutes from the same internet connection. Plenty for working on a draft; if you hit it, wait a few minutes.
FAQs
❓ Is my data used to train AI models?
Styler does not send your data to be used for training. How Google handles data submitted to its services is governed by Google's own terms — if this matters for your compliance position, review those directly rather than relying on a summary here.
❓ Can I turn AI off?
There's nothing to turn off. It only runs when you choose to generate a bio or booking terms. Don't use the buttons and nothing is ever sent.
❓ Does AI decide anything about my customers?
No. Styler does not use AI to make decisions about customers, pricing, availability or bookings. There is no automated decision-making. Every feature that affects a customer follows rules you configure.
❓ Do I need to mention this in my own privacy policy?
If you use these features, you're sending staff data — and anything you type into a notes box — to a third-party processor, which is the kind of thing a privacy policy typically covers. We can tell you what Styler does — we can't advise on your obligations. Check with whoever handles data protection for your business.
