Styler sends email automatically at various points. This is the full list — what sets each one off, who gets it, and whether you can switch it off.
The short version: almost none of them can be turned off, because they're transactional — they carry information the recipient needs. The exceptions are the booking notifications we send you and your team.
Emails to your customers
When it's sent | Can you turn it off?
Welcome | They create an account with you | No — but you can customise the message |
Booking Confirmation | A booking is made | No |
Booking Update | A booking is changed | No |
Booking Cancelled | A booking is cancelled, by either side | No |
Booking reminder | 24 hours and 1 hour before an appointment — and as a push notification if they use your app | No |
Booking Unsuccessful | A booking couldn't be completed | No |
Fee charged | A no-show or late-cancellation fee is taken | No |
Course Enrollment Confirmation | They're enrolled on a course or class | No |
Password reset | They request one | No |
Email verification | They sign up or change their email | No |
👀 Why can't these be turned off? They're transactional, not marketing. A customer who books an appointment needs the confirmation — that's not something they opt into. Marketing consent is separate and is controlled per customer on their profile.
Booking notifications — to you and your team
When something happens to a booking, Styler notifies the people it affects. There are three of these emails, and they work the same way as each other.
When it's sent | Who gets it | Can you turn it off?
New Booking | A booking is made | The assigned staff member(s), and your business email address if enabled | Yes |
Cancelled Booking | A booking is cancelled | The assigned staff member(s), and your business email address if enabled | Yes |
Booking Updated | A customer reschedules their booking | The assigned staff member(s), and your business email address if enabled | Yes |
New Course Enrollment | Someone enrols on a course | Your business email address | No |
👀 Two separate things decide who receives one of these.
The staff copy. Every staff member assigned to the booking gets their own copy, sent to the email address on their staff profile. This happens by default — there is nothing to switch on.
The business copy. On top of that, a copy of every one can go to your business email address. That is the Enabled switch on each template in Settings → Business → Emails.
👀 Nobody is emailed about their own action. If you reschedule a booking from the Hub yourself, you will not get an email telling you that you did. The business copy is also skipped for changes made in the Hub — these notifications are about things happening to you, not things you did.
👀 A staff member with no email address on their profile cannot be emailed. If someone says they never get booking emails, check their staff profile first — it is the most common cause.
Choosing your own notifications
Each of the three is per person. Go to Settings, then under Hub click Notifications, and switch New Bookings, Cancellations and Booking Updates on or off for yourself.
These settings cover your own bookings — the ones you are assigned to — and they apply to both the email and the push notification you get in the Styler Hub app. See notifications on the Styler Hub app for how those work.
💡 This is per Hub account, so turning yours off does not affect anyone else, and nobody else can turn yours off for you. It is the right place to go when your inbox is too busy — not the business-wide switches, which control something different.
👀 A staff member who does not have a Hub login has nowhere to set this, so they always receive notifications for their own bookings. Give them a Hub account if they want to opt out.
Other emails to your staff
When it's sent | Can you turn it off?
Hub account invite | You create a Hub login for them | No — it's how they set their password |
Emails about your Styler subscription
These go to your business email address and to everyone whose permission level can update billing details.
When it's sent | |
Free trial reminder | Twice before your free trial ends, with what your first bill will be |
Renewal notice | Ahead of an annual plan renewing |
App removal reminder | A week before your branded app is due to be removed from the App Store and Google Play, after a downgrade or cancellation |
Payment failed | A payment for your subscription hasn't gone through |
Suspension warning | A few days before your account would be suspended for an unpaid bill |
Account suspended | Your account has been suspended |
Account reactivated | Payment has come through and your account is back up and running |
None of these can be turned off. They're about your account, not marketing.
👀 There's no email when you change your plan or your staff seats. The Billing page shows the change straight away, and any charge appears in Billing History. See billing: your plan, cards and reactivating.
What you can change
Go to Settings, then under Business click Emails. You can preview each template and change three things:
1. Your welcome message — up to 500 characters, included in the welcome email new customers receive. Leave it blank and we use a sensible default. This is one of the few places a customer hears your voice rather than ours, so it's worth writing something.
2. Important information — up to 5,000 characters, added to booking confirmations. Parking, access, what to bring, where to find the door.
💡 This is the single highest-value field on the page. Every "where do I park?" and "which buzzer?" message you answer by hand is one you could have answered here once. Confirmations get opened — put the answers where people are already looking.
3. The business copy of the three booking notifications — New Booking, Cancelled Booking and Updated Booking each have their own Enabled switch.
👀 This switch only controls the copy sent to your business email address. Turning it off does not stop the assigned staff member getting theirs — that is their own setting, under Settings → Hub → Notifications.
👀 Booking confirmations also automatically include your business locations, your cancellation policy and your booking preferences, so keep those accurate — they're going out to every customer whether you think about them or not.
FAQs
❓ A customer says they didn't get their confirmation.
Check the spelling of their email address on their profile first — a typo is by far the most common cause. Then ask them to check spam. Confirmations are transactional and always send, so if the address is right the email left our side.
❓ I'm getting too many booking notifications.
It depends whose inbox. If it is yours, turn the ones you do not want off in Settings → Hub → Notifications — that is per person and affects nobody else. If it is the shared business inbox getting a copy of everything, turn off the Enabled switch on that template in Settings → Business → Emails. Your calendar is still the source of truth, and busy businesses often prefer to work from it rather than their inbox.
❓ A staff member isn't getting booking emails.
Three things to check, in this order: is there an email address on their staff profile; have they turned that notification off in Settings → Hub → Notifications; and were they the person who made the change? Nobody is notified of their own action.
❓ Can I stop a specific customer receiving marketing?
Yes — marketing consent is set per customer, per channel, on their profile. It's separate from the transactional emails listed here.
❓ Can I redesign the emails?
The templates carry your business branding automatically. For anything beyond that, speak to your Styler Consultant.
