There are two ways a form reaches a customer. Either you assign it to a service, and every booking for that service issues it automatically — or you send it yourself, one customer at a time. Most businesses set up assignments once and only send by hand for the odd exception.
Assigning forms to services
Go to Settings → Forms and open the Assignments tab. You'll see your services, grouped by category, with the forms assigned to each.
Click a service and choose Assign form to service, then set:
Form — which of your published forms to use.
How often — Every booking, First booking only, or If not completed within… a number of months. The last one is the one most salons want: ask again once the answers are old enough to be worth rechecking, and don't pester anyone in between.
Send with the booking — on by default. Leave it on and the form goes out automatically; switch it off and the form is still attached to the booking, but it's up to you to send or open it.
Assign to a category instead of a service and every service in it is covered, including ones you add later. That's usually less work to maintain than assigning the same consent form to fifteen individual services.
Remember to Save — assignments don't apply until you do.
💡 Services with no category are collected together under Other services, so nothing gets missed.
What happens when someone books
As soon as a booking is made — online by the customer, or by you in the Hub — Styler works out which forms that booking needs and creates them.
The links go out in the booking confirmation email, and again with the reminder, so there are two natural prompts before the appointment.
The booking shows a Forms button in your diary, which tells you whether they've been done.
If the customer already completed that form recently and the rule says not to ask again, nothing is issued.
👀 Rescheduling refreshes the link. Move a booking and the old link stops working — the new one goes out with the updated confirmation, and runs to the new date. If a customer says their link has stopped working, check whether the booking was moved.
👀 Cancelling a booking expires its outstanding forms. Anything already completed is kept.
👀 Recurring bookings are issued once, not every week. The form belongs to the series, its link runs to the day after the first appointment, and every visit in the series shows it in the diary. See recurring bookings.
Sending a form yourself
Open the customer's profile, go to the Forms tab and click Send form. You can also get there from a booking in your diary, via its Forms button.
Choose the form, optionally tie it to a booking, then pick how to deliver it:
Send by email — your customer gets a link to complete before their booking. Greyed out if you don't hold an email address for them.
Copy a link — Styler gives you the link and you send it yourself, usually by text or WhatsApp.
Complete in person now — opens the form in a new tab on the device you're using, ready to hand over.
💡 Tie it to a booking when you can. A form linked to a booking shows on that booking in the diary, and its link runs to the end of the day after the appointment. Choose No booking for anything standalone — a form you want on file before someone has booked anything.
👀 You can't send a link for a booking that has already happened — it would have expired before it arrived. Styler will tell you, and offer to complete the form with the customer instead, or to send it without a booking attached.
Filling one in together
This is the one you'll use when somebody turns up having ignored two emails.
From the booking's Forms button, or the customer's Forms tab, choose Open in person. The form opens in a new tab on your device with no link and no identity check, because you're standing next to them. Hand over the phone or tablet, let them fill it in and sign, and it saves straight onto their record.
👀 That session lasts four hours, which is plenty for an appointment but means you can't open one in the morning and come back to it after lunch. Open it again and carry on.
💡 Some forms are in-person only by design — if a form has Customers can complete it online switched off, this is the only way it gets filled in, and the email and link options won't be offered.
Chasing an outstanding form
The Forms tab on a customer's profile lists everything issued to them with its status. On anything still outstanding you can:
Resend by email — sends the link again.
Copy link — gives you the same live link to send another way.
Open in person — give up on chasing and do it at the appointment.
Each form's own page, under Settings → Forms, is the view for chasing in bulk: it shows how many have been issued, completed and are still outstanding, and lists every customer it's gone to so you can work down the list.
FAQs
❓ My customer says the link doesn't work.
Usually one of three things: the booking was moved or cancelled (which replaces or ends the link), the booking has passed (links stop working at the end of the following day), or they're opening an older email. Resend it from their Forms tab, or open it in person.
❓ Can I send a form without a booking?
Yes — choose No booking when you send it.
❓ Will the same customer be asked again every time they book?
Only if the assignment says Every booking. Use First booking only for a one-off consent, or If not completed within… to re-ask after a set number of months.
❓ I've assigned a form but nothing is being issued.
Check the form is published rather than a draft, that it hasn't been deactivated, and that the booking actually includes the service you assigned it to. Bookings made before you set the assignment up won't issue it retrospectively — send those by hand.
❓ Does the customer have to do it before the appointment?
No. It's better if they do, but anything outstanding can be completed with you when they arrive.
